From Auto Reply to Robotics

More and more processes and actions are completely automated. A state of the art e-mail system that sent out Automatic Replies just some years ago is currently nothing more than an utter basic of any company that takes itself seriously. The world is moving faster and faster, and people expect results faster as well. This means that if you want to survive, want to thrive, you have to adapt your organisation. Robotic Process Automation (RPA) is the next step in this process.

Robotic Process Automation is the automisation of standardised repetitive processes. The biggest difference with regular automation is that in theory one does not need to change its IT environment. RPA can be seen as the middle man. It is capable to extract information from one database, paste it in a second, and even log in to applications of other companies. Actions that used to be very time consuming can now be done fully automatically. 

So why shouldn't we just let the robots do everything?

Because development in robotics is still in the (relatively) early stages. Not every process can, or should, be automated. The processes that we robotise adhere to certain requirements. One of those requirements is that the action should not be open to any human interpretation whatsoever. If it does, the automated version will likely never work properly. Secondly, before you robotise, you should optimise the process. As the robot takes over the repetitive work that a person once did, by definition it also takes over its (in)efficiencies if you haven't optimised it first. So, what is the current status of our KAS Bots?

We started to robotise our first processes back in 2016. Our current robots use macro-like logic and workflow automation. It is able to copy data from one location, paste it in others, log into applications of third parties, and handle the possible different outcomes of certain standardised tests. Our robots are able to work quickly, are never bored, and are never tired which means that they can work 24 hours a day.

  • Cost reduction is not the main reason for us to introduce Robotics, increasing Client Satisfaction is. 
  • Since our KAS Bots never get tired, processes are running 24/7. This means that processing times will decrease dramatically, which results in (for example) accounts that can be opened much quicker. 

Leasons Learned

"Living in the future today". While possible, it is easier said than done. We learned a couple of valuable lessons while introducing Robotics that we would love to share.

#1 Coding

It proved to be possible to set up a robot in just 6 weeks. This means that results can be realised quickly. It turns out that one of the biggest hurdle to start with robotics, time, isn't a hurdle after all. 

#2 Governance

Setting up all identified requirements to be completely 'in control' was more complex than expected. For example; arranging the correct authotisations for our Bots in applications from third parties. After all, Robotics is new to everyone. 

#3 Optimisation

Processes need to be optimised, before they can be robotised. This way you avoid inefficient processes. Whether a robot or a human is behind it, an inefficient process will stay an inefficient process. 

#4 Think Different

The use of robotics without a vision is just like a company without a vision; it will never perform at a top level. An important part of successful RPA, is having a vision and a goal so that Robotics is able to complement the organisation. Keep in mind that one cannot compare RPA to traditional IT- systems. This means it' is necessary to adopt a new, different way of thinking and with that a new approach.

#5 Dare to Say No

Saying no to a robot might be the best option after all. Despite the recent boom in the use of Robotics, some actions or processes can be performed quicker, cheaper and more efficient by a human rather than a robot. Dare to admit this, and look for a new process that can be robotised.
